Xosum.AM (“Xosum.AM”, “we”, “us”, “our”) is a brand of Whatsnew, LLC, a Delaware (USA) company, and is wholly owned by Whatsnew, LLC.

We provide a cloud-based Armenian speech-to-text and text-to-speech platform, including transcription of live or uploaded audio, speaker separation and labeling, karaoke-style playback, an AI assistant for transcript Q&A/summaries, and business services such as API access, telecom integrations, and call analytics (collectively, the “Services”).

This Privacy Policy explains what information we collect, how we use it, and how we protect it.

1) Who we are

2) What information we collect

We collect information in three categories: (A) information you provide, (B) information we generate during service delivery, and (C) information collected automatically.

A. Information you provide

  • Account information: name, email address, password (stored in hashed form), and (if applicable) organization/workspace details.
  • Support communications: messages you send to support and any information you include.
  • Audio content you submit: audio files you upload or live audio you stream for transcription.
  • Text content you submit: transcript edits, speaker labels you apply, notes, and any text you enter into the Services (including prompts or questions to the AI assistant).

B. Information we generate while providing the Services

  • Transcripts and metadata: transcripts, timestamps, speaker separation/diarization results, confidence scores, and related processing outputs.
  • AI outputs: summaries, answers to questions about the transcript, and other generated text produced via the AI assistant.
  • Analytics outputs (Business plan): call-level or aggregate insights produced from transcripts and related metadata for quality assurance and compliance use cases (as configured by the customer).

C. Information collected automatically

  • Technical and usage data: IP address, device and browser information, operating system, access timestamps, pages/screens viewed, feature usage, and diagnostic/performance logs.
  • Security logs: authentication events and logs used to protect accounts and the Services.

Telegram bot (if you use it)

If you use a Xosum.AM Telegram bot, we may collect and process:

  • Telegram identifiers (such as user ID and username) and messages you send to the bot, including audio files and commands, to provide transcriptions and related outputs.

3) How we use information

We use information to:

  • Provide and operate the Services, including:
    transcribing Armenian speech into text (from live or uploaded audio),
    generating text-to-speech outputs,
    enabling transcript editing, speaker labeling, and playback features,
    exporting or delivering your outputs in the formats you choose.
  • Provide AI assistant functionality that can answer questions about transcripts and generate summaries and other text.
  • Provide Business plan functionality, including API access, integrations (including telecom integrations where enabled), transcription at scale, and analysis outputs used for quality assurance and compliance workflows.
  • Maintain, troubleshoot, and improve the Services, including diagnosing errors, monitoring reliability, and optimizing performance and accuracy (without using user data to train our models; see Section 5).
  • Protect the Services and users, including preventing fraud, abuse, and unauthorized access.
  • Communicate with you, including service-related notices, support responses, and account/billing communications.

4) Business plan, API, and telecom integrations

If you use Xosum.AM via an organization (for example, through a Business plan workspace), your organization may configure and control how data is uploaded, accessed, retained, and analyzed within your workspace.

Where telecom integrations are enabled by a business customer:

  • The business customer is responsible for ensuring it has the appropriate rights and permissions to record, transcribe, and analyze calls and to provide the call data to Xosum.AM for processing.
  • Xosum.AM processes call audio and related data to provide transcription and analysis features as configured by the business customer.

5) Model training

We do not use user data to train our models.

This includes audio content, transcripts, and AI assistant inputs.

6) AI assistant and third-party AI providers

Xosum.AM includes an AI assistant that can answer questions about transcripts and generate summaries or other text.

To provide this feature, we may send relevant inputs (such as your question/prompt and relevant transcript content) to third-party AI providers for processing, and receive generated outputs in return. We limit what is shared to what is needed to perform the requested AI assistant function.

7) How we share information

We do not sell personal information.

We may share information in the following circumstances:

  • With service providers that help us operate the Services (for example, infrastructure and hosting providers, payment processors, and tools used for support and operations). These providers are permitted to process information only to provide services to us and are required to protect it.
  • With third-party AI providers as described in Section 6, to power AI assistant features.
  • With your organization (if you use a business/enterprise workspace), consistent with the organization’s workspace settings and administrative controls.
  • For legal and security reasons, if we believe disclosure is necessary to comply with law, respond to lawful requests, protect the security or integrity of the Services, investigate abuse, or protect rights, property, or safety.
  • In connection with a business transaction such as a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, where information may be transferred as part of that transaction subject to appropriate protections.

8) Data retention

We retain information only as long as reasonably necessary to provide and operate the Services, comply with legal obligations, resolve disputes, and enforce our agreements.

Retention periods may vary depending on:

  • the type of data (audio, transcript, generated outputs, logs),
  • your account/workspace configuration,
  • legal and operational requirements.

9) Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls, encryption in transit, and monitoring to detect and prevent abuse.

No system can guarantee absolute security. You are responsible for maintaining the confidentiality of your credentials and for securing access to your account.

10) International processing

Xosum.AM is operated by a company in the United States, and information may be processed and stored in the United States and other locations where our systems or service providers operate.

11) Your rights and choices

Depending on where you live, you may have rights to request access to, correction of, or deletion of personal information, and to object to or restrict certain processing.

If you use Xosum.AM through an organization, your requests may need to be handled through your organization’s administrator or policies.

12) Children’s privacy

The Services are not intended for children. We do not knowingly collect personal information from children.

13) Changes to this Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date and may provide additional notice through the Services.
